LightBeam Spectra users can connect various data sources to the LightBeam application and these data sources will be continuously monitored for PII, PHI data.
Example: Hubspot, Salesforce, ADP, Marketo etc.
Log in to your LightBeam Instance.
Click on DATASOURCES in the Top Navigation Bar.
Click on Add a Data Source.
Search for “Hubspot”.
Click on Hubspot.
Fill in the details as shown below and click on Next:
Instance Name: This is the unique name given to the instance of the data source.
Description: This is an optional field needed to describe the use of this data source.
Primary Owner: An email address of who is responsible for this data source and in case of alerts this email ID will get alerts by default.
Entity Creation: LightBeam Spectra detects and associates attributes based on the context and identifies whose data it is; these are called entities. Example: Jane Doe is an entity for whom LightBeam Spectra might have detected Name and SSN in a monitored data source.
Source of Truth: LightBeam Spectra would have monitored data sources that contain data acting as a single point of truth and that can be used for looking up entities/attributes which help to identify if the other attributes/entities found in any other data source are accurate or not. A Source of Truth data set would create entities based on the attributes found in the data.
Location: The location of the data source is indicated here.
Purpose: The purpose of the data being collected/processed.
Stage: The stage of the data source. Example: Source, Processing, Archival, etc.
Provide the credentials as shown below and click on Test Connection.
Verify that you get the message “Test Connection Success”.
Click on Register.
Click on Okay.
Now we are ready to browse through the onboarded Hubspot datasource dashboard.
Your Hub ID is a unique identifier assigned to each HubSpot application. Each HubSpot portal will have its own unique Hub ID.
Log in to Hubspot as an Administrator. You will be directed to the Hubspot dashboard after a successful login.
Once you've logged in, you'll see your account name at the top right corner of your dashboard.
Click on your account name. A dropdown menu will appear.
Your Hub ID will be displayed at the top of this dropdown menu. It's usually a 5-7-digit number.
Note down your Hub ID as it will be used when integrating with LightBeam.
Log in to Hubspot as an Administrator.
On the primary navigation menu at the top, hover over "Service" and select "Tickets" from the drop-down list.
Click on the gear-shaped Settings icon located at the upper-right corner of your dashboard.
From the left-hand side navigation menu within Settings, select "Integrations".
Click on Private Apps.
Click on Create a private app.
Enter the details of the app to be created under the Basic Info section, such as Name and Description (Optional).
Click on "Scopes" to configure the app's permissions. Select "CRM" from the left sidebar.
Tick the checkboxes next to the following permissions:
crm.objects.companies
crm.objects.contacts
Click on "Standard" in the left sidebar.
Tick the checkboxes next to the following permissions:
conversations.read
files
files.ui_hidden.read
forms-uploaded-files
sales-email-read
tickets
After setting the permissions, click the "Create app" button on the top right corner of the screen.
Click on Continue creating.
This will show the message “Your private app was created”.
Now the LightBeam app is ready to be installed and integrated into Hubspot.
Click on Show token. Copy the token on screen for your use when configuring the Hubspot datasource on LightBeam.
Finally, click on "Go to app auth" to complete the app setup process.
With these steps completed, you will have all the required configuration parameters like Access Token and Hub ID onboard the Hubspot data source to LightBeam.
Success Tip: We recommend creating a dedicated Hubspot Connected App specifically for integrating LightBeam with Hubspot. This application should be exclusively used for this purpose and not shared or repurposed for any other clients or applications. By doing so, you ensure secure and efficient access control, as well as maintain proper management of the LightBeam-Hubspot connection.
